DUTIES AND RESPONSIBILITIES
Administrative Support:
- Assist in daily office operations by performing routine clerical and administrative tasks.
- Maintain an organized filing system for physical and electronic documents, including client files, court documents, and correspondence.
- Ensure that all office supplies are stocked and requisitions are made in a timely manner.
Client and Visitor Management:
- Greet and receive clients and visitors in a professional and courteous manner.
- Guide clients to appropriate staff and ensure they are comfortable while waiting.
- Maintain a clean and welcoming reception area.
Communication Handling:
- Answer and route incoming telephone calls promptly and professionally.
- Receive, sort, and distribute incoming mail and courier deliveries.
- Prepare outgoing mail, parcels, and court filings, ensuring timely dispatch.
Legal Support Tasks:
- Assist advocates and legal clerks with the preparation, printing, and binding of legal documents.
- Help manage and track case files, deadlines, and court dates.
- Support document service and filing in courts or legal offices when required.
Scheduling and Calendar Management:
- Help coordinate and schedule meetings, appointments, and court appearances.
- Maintain office calendars to avoid scheduling conflicts.
Errand Running:
- Deliver and collect documents from banks, courts, registries, and other offices as assigned.
- Ensure timely and secure handling of all legal and confidential materials during errands.
Office Maintenance:
- Ensure cleanliness and tidiness of workspaces, meeting rooms, and common areas.
- Coordinate with cleaning staff and service providers for office maintenance and repairs.
Team Support:
- Work collaboratively with the legal and administrative teams to ensure smooth office operations.
- Assist in onboarding new staff with office logistics and documentation.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma in Business Administration or a related field
- 2–3 years’ experience working in a law firm is mandatory
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Professional appearance and demeanor
- Ability to work independently and maintain confidentiality
