DUTIES AND RESPONSIBILITIES
- Record all financial transactions accurately in Tally ERP, including sales, purchases, receipts, payments, and journal entries.
 - Maintain up-to-date records of company expenditures, income, and other financial transactions on a day-to-day basis.
 - Prepare and issue invoices to clients and ensure timely follow-up for payments.
 - Record incoming payments and reconcile customer accounts regularly.
 - Track and process supplier invoices, ensure proper documentation and approvals, and schedule timely payments.
 - Maintain updated creditor and debtor aging reports and escalate any overdue balances.
 - Monitor all cash transactions, prepare petty cash vouchers, and ensure petty cash balances are accurately maintained.
 - Perform monthly bank reconciliations and resolve discrepancies in a timely manner.
 - Assist in preparing weekly and monthly cash flow forecasts to support business operations.
 - Ensure compliance with all statutory requirements including VAT, PAYE, NSSF, SHIF, Withholding Tax, and others.
 - Prepare and file statutory returns on time and liaise with KRA or other authorities as necessary.
 - Maintain proper documentation for audits and statutory inspections.
 - Generate and analyze monthly financial reports such as profit & loss statements, balance sheets, cash flow statements, and expense reports.
 - Support preparation of quarterly and annual financial statements and assist with year-end closing procedures.
 - Provide financial data and reports to management to support decision-making.
 - Prepare audit schedules and provide all necessary documentation for internal and external audits.
 - Respond to audit queries and implement recommended changes or improvements as needed.
 - Collaborate with other departments such as Logistics, Sales, and Procurement to ensure smooth flow of information and financial accuracy.
 - Review purchase orders and delivery notes to ensure proper matching and authorization.
 - Suggest improvements in accounting procedures and internal controls to enhance efficiency and transparency.
 - Stay up to date with new features in Tally and propose upgrades or new modules if beneficial.
 - Maintain strict confidentiality of all company financial data.
 - Uphold ethical accounting practices and support a culture of financial discipline across departments.
 
KEY REQUIREMENT SKILLS AND QUALIFICATION
- CPA-K or a Degree in Accounting, Finance, or a related field
 - Minimum 2 years of accounting experience, preferably in logistics, distribution, or a fast-paced business environment
 - Proficiency in Tally ERP is a must
 - Sound knowledge of Kenyan tax laws and statutory deductions
 - Strong analytical, organizational, and problem-solving skills
 - High level of accuracy and attention to detail
 - Ability to work independently with minimal supervision
