DUTIES AND RESPONSIBILITIES

Maintain Accurate and Up-to-Date Financial Records

  • Ensure all financial transactions are recorded promptly and correctly in the accounting system.
  • Maintain general ledger entries and ensure accuracy in journal postings, adjusting entries, and trial balances.

Prepare Financial Reports and Statements

  • Generate and analyze monthly, quarterly, and annual financial statements, including profit & loss, balance sheet, and cash flow reports.
  • Present reports to management and provide insight into financial performance and trends.

Manage Accounts Payable (AP) and Accounts Receivable (AR)

  • Process supplier invoices, verify accuracy, and ensure timely payments.
  • Prepare customer invoices and monitor receivables to ensure timely collections.
  • Handle supplier and customer reconciliations and resolve any discrepancies.

Reconcile Bank and Ledger Accounts

  • Perform monthly bank reconciliations to verify consistency between the bank records and the company ledger.
  • Reconcile control accounts and resolve any variances promptly.

Payroll Processing and Statutory Compliance

  • Prepare and process monthly payroll accurately and on time.
  • Calculate statutory deductions (PAYE, NHIF, NSSF) and ensure timely remittance to relevant authorities.
  • Maintain employee payroll records and respond to payroll-related queries.

Prepare and File Statutory Returns

  • Ensure compliance with all regulatory and tax requirements.
  • Prepare and submit VAT, PAYE, NHIF, NSSF, and other relevant statutory returns within set deadlines.
  • Keep abreast of changes in tax laws and statutory obligations and advise management accordingly.

Monitor Cash Flow and Manage Petty Cash

  • Track daily cash flow and maintain updated cash flow forecasts.
  • Monitor expenses to ensure they are within approved budgets.
  • Manage petty cash float, ensure proper documentation, and reconcile balances regularly.

Support Budgeting and Financial Planning

  • Assist in the preparation of annual budgets and periodic forecasts.
  • Track budget vs. actual performance and highlight variances for corrective action.
  • Provide input for financial planning, cost-saving opportunities, and financial strategy development.

Liaise with External Auditors and Support Audit Process

  • Prepare audit schedules, provide required documentation, and respond to auditor queries.
  • Implement audit recommendations and improve internal controls as advised.

Maintain and Update Accounting Systems

  • Operate and maintain accounting software, ensuring all entries are up-to-date and accurate.
  • Continuously improve the use of technology and tools to enhance efficiency and accuracy.

Provide Financial Analysis and Advisory to Management

  • Analyze financial data to identify trends, risks, and opportunities.
  • Prepare reports and financial models to assist management in strategic decision-making.
  • Advise on cost controls, risk mitigation, and performance improvements.

Ensure Adherence to Internal Controls and Policies

  • Implement and monitor internal control procedures to protect company assets.
  • Ensure compliance with financial policies, approval procedures, and accountability standards.

 

 

 

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree in Accounting, Finance, or a related field
  • CPA qualification is mandatory
  • A minimum of 5 years proven experience in an accounting or finance role
  • Strong working knowledge of accounting software (e.g., QuickBooks, Sage, or similar)
  • Advanced proficiency in Microsoft Excel and other MS Office applications
  • Demonstrated knowledge of Kenyan tax laws and statutory compliance requirements
  • Strong attention to detail, accuracy, and organizational skills
  • High level of integrity and ability to maintain confidentiality
