DUTIES AND RESPONSIBILITIES
Financial Reporting and Analysis:
- Prepare and maintain accurate financial records for the institution in accordance with IPSAS reporting standards.
- Compile and analyze financial data to assist in budget preparation and financial planning.
- Prepare monthly, quarterly, and annual financial reports for management and regulatory bodies.
- Ensure compliance with local, regional, and national financial regulations and policies.
General Accounts Management:
- Oversee daily financial transactions including accounts payable, receivable, payroll, and bank reconciliations.
- Prepare and submit tax returns and other statutory payments.
- Monitor cash flow and recommend improvements for financial efficiency.
- Handle the processing of invoices, receipts, and financial claims.
ERP and System Management:
- Utilize and manage the ERP system to ensure accurate and efficient financial data entry, reporting, and retrieval.
- Perform regular system updates and troubleshooting, collaborating with the IT department as needed.
- Ensure that all financial data is integrated into the ERP system for streamlined reporting.
Audit and Compliance:
- Prepare for and support internal and external audits by providing required financial data and documentation.
- Ensure that all financial practices are aligned with the institution’s internal policies, regulatory requirements, and IPSAS standards.
- Assist in the development and implementation of financial controls to safeguard assets and reduce financial risks.
Budgeting and Forecasting:
- Assist in the development and management of the institution’s annual budget, ensuring that spending is within the approved limits.
- Provide accurate and timely budget forecasts based on historical financial data and anticipated revenue.
- Recommend adjustments and cost-saving measures to maintain financial stability.
Record Keeping and Documentation:
- Ensure all financial records are maintained and backed up according to regulatory and institutional requirements.
- Maintain proper documentation of transactions to ensure transparency and audit readiness.
- Ensure that financial documents and reports are stored in an organized manner, both physically and electronically.
Team Collaboration:
- Work closely with other departments and management to provide financial insight and advice.
- Provide training and guidance to junior accounting staff and other team members on financial policies and procedures.
- Ensure that all financial operations are conducted in a collaborative, efficient, and effective manner.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- At least 5 years of experience in an accounting role, preferably within an educational institution
- CPA K
- Proficiency in Microsoft Office Suite, particularly Excel
- Knowledge of ERP systems and IPSAS reporting standards
- Strong understanding of financial regulations, tax compliance, and accounting procedures.
- Excellent analytical, organizational, and problem-solving skills
- Candidates must have chapter 6 clearance documents
