DUTIES AND RESPONSIBILITIES

  • Oversee the procurement process from requisition to delivery of goods and services.
  • Ensure compliance with the institution’s procurement policies and procedures.
  • Collaborate with various departments to understand their procurement needs and make recommendations for efficient sourcing.
  • Prepare and manage Requests for Quotations (RFQs) and tenders.
  • Analyze market trends and suppliers to ensure competitive pricing and best value for money.
  • Negotiate contracts and agreements with suppliers, ensuring favorable terms and conditions.
  • Maintain an up-to-date database of approved suppliers.
  • Process purchase orders and ensure timely delivery of goods and services.
  • Track and manage inventory levels to avoid shortages and excess stock.
  • Ensure that procurement documentation is accurate and complete, and maintain records for audit purposes.
  • Assist in the preparation of procurement reports, ensuring accuracy and timely submission.
  • Provide support for internal audits and reviews related to procurement activities.
  • Address and resolve any procurement-related issues, including supplier disputes or delays.
  • Ensure timely payment processing for suppliers as per agreed contract terms.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Bachelor’s degree in Procurement and Supplies Management or a related field.
  • A minimum of 2 years of experience in procurement, preferably in a learning institution or educational environment
  • Proficiency in computer applications (Microsoft Office Suite).
  • Knowledge and experience working with ERP systems.
  • Strong communication and negotiation skills.
  • Excellent attention to detail and organizational skills.
  • Ability to work independently and as part of a team.
