DUTIES AND RESPONSIBILITIES
Supervision of Daily Operations:
- Oversee all operational activities, ensuring that processes are running smoothly and efficiently.
- Troubleshoot and resolve any operational issues that may arise, ensuring that disruptions are minimized.
- Monitor workflow to ensure productivity targets and deadlines are met consistently.
Team Leadership and Management:
- Lead and motivate a team of operational staff to achieve organizational goals.
- Delegate tasks effectively and monitor performance, offering support where needed.
- Provide guidance and training to staff, ensuring that they are well-equipped to perform their tasks and meet expectations.
Reporting and Analysis:
- Prepare detailed daily, weekly, and monthly operational reports for management, highlighting key performance indicators (KPIs) and any challenges faced.
- Provide actionable insights based on data analysis to help enhance the efficiency of business operations.
Process Improvement and Efficiency:
- Identify opportunities to streamline processes, improve workflows, and optimize resource allocation to increase operational efficiency.
- Collaborate with other departments to improve cross-functional processes and drive operational improvements.
Customer Service and Support:
- Handle customer inquiries and complaints, ensuring timely and satisfactory resolution of any issues related to operations.
- Maintain high levels of customer satisfaction by ensuring that operational processes align with customer expectations.
Inventory and Resource Management:
- Oversee inventory control, ensuring that resources and materials are available when needed for operations.
- Maintain accurate records of inventory, equipment, and supplies, and ensure that items are properly stored and managed.
Administrative Support:
- Handle general administrative tasks, such as preparing and maintaining operational documentation, filing reports, and managing schedules.
- Assist in the preparation of operational budgets, forecasts, and other financial documents.
Strategic Planning and Decision-Making:
- Participate in the development of long-term operational strategies and goals.
- Contribute to decision-making processes regarding improvements in systems, staffing, and operational activities.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree or Diploma in Business Management or a related field
- Minimum of 2 years of experience as an Administrator or Supervisor in a fast-paced environment
- Strong leadership skills with the ability to manage and motivate a team
- Excellent communication skills, both written and verbal
- Good organizational skills and ability to multitask effectively
- Proficiency in office software (e.g., Microsoft Office, Excel, etc.)
- Problem-solving skills with the ability to think critically under pressure
