JOB SUMMARY
The Operations Supervisor will be responsible for overseeing the seamless execution of projects once they have been secured by the Sales team. You will oversee all aspects of project delivery, including coordination with internal departments, ensuring timelines are met, and maintaining high standards of quality and client satisfaction. This role requires strong organizational, communication, and problem-solving skills, as you will ensure each project moves smoothly through its production stages, meeting both internal and client expectations.
DUTIES AND RESPONSIBILITIES
- Project Handover: Manage the seamless transition of new client projects from the Sales team. Ensure all project details, client expectations, and timelines are clearly understood and communicated to relevant internal teams (designers, marketers, content creators).
- Client Liaison: Act as the primary point of contact for clients during the project execution phase. Provide regular updates on project progress, address any concerns, and ensure client expectations are met throughout the process.
- Project Coordination: Work with relevant internal team members (design, creative, production, etc.) to ensure projects are progressing according to plan. Organize workflows and monitor milestones to ensure timely delivery.
- Timeline Management: Oversee project timelines, ensuring that deliverables are completed within agreed-upon timeframes. Address any potential delays proactively and adjust plans as needed.
- Quality Control: Ensure that all project deliverables meet the company’s quality standards, branding guidelines, and client specifications before being sent to clients.
- Budget Monitoring: Track and monitor project budgets, ensuring that costs stay within allocated amounts and alerting management to any potential budget overages.
- Problem Resolution: Address any issues or obstacles that may arise during the course of a project. Work to resolve problems efficiently while minimizing disruption to timelines and client satisfaction.
- Client Satisfaction: Maintain a high level of client satisfaction by ensuring consistent communication and delivering high-quality results on time.
- Reporting: Provide regular project status updates to senior management, tracking progress, budget adherence, and overall project success.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Business Administration, Marketing, Operations Management, or a related field.
- 3+ years of experience in operations, project management, or a similar role in a branding, marketing, or creative agency environment
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills to effectively manage relationships with clients, internal teams, and external vendors.
- Ability to multitask and manage multiple projects simultaneously while maintaining attention to detail
- Problem-solving mindset with the ability to manage conflicts or issues that arise during project execution.
