DUTIES AND RESPONSIBILITIES
Inventory Management:
- Monitor and manage the day-to-day operations of inventory to ensure optimal stock levels are maintained.
- Conduct regular inventory audits and cycle counts to reconcile physical stock with system data.
- Update and maintain inventory records to reflect accurate stock levels, ensuring no discrepancies.
- Ensure proper stock rotation and FIFO (First In, First Out) methods are followed to reduce the risk of product expiry or obsolescence.
Stock Replenishment:
- Monitor sales trends and adjust stock levels based on demand forecasts.
- Place purchase orders and coordinate with suppliers to replenish stock on time.
- Liaise with the procurement department to identify and address any stock shortages or overstock situations.
Stock Movement & Distribution:
- Manage the receipt, storage, and distribution of inventory, ensuring all incoming goods are inspected for quantity and quality upon delivery.
- Ensure efficient distribution of stock to various locations as required.
- Track the movement of stock and ensure timely dispatch of products to customers or sales teams.
- Coordinate with other departments to ensure timely fulfillment of orders.
Record Keeping & Documentation:
- Maintain accurate records of inventory levels, order histories, and discrepancies.
- Prepare and submit inventory reports to management, detailing stock status, trends, and any anomalies.
- Record stock transfers and monitor stock adjustments to ensure data integrity.
- Assist in the preparation of periodic stock reports for audits.
Stock Control & Loss Prevention:
- Identify slow-moving or obsolete stock and take appropriate action to reduce losses.
- Monitor and report on stock shrinkage, investigating discrepancies and implementing corrective actions.
- Ensure compliance with all health and safety regulations related to inventory storage and handling.
Supplier & Vendor Management:
- Maintain good relationships with suppliers and vendors to ensure the smooth flow of inventory.
- Follow up on outstanding orders with suppliers and resolve any issues related to delayed deliveries or incorrect orders.
Process Improvement:
- Propose improvements to the inventory management processes, aiming to increase efficiency and accuracy.
- Identify and implement best practices in inventory control to optimize operations and reduce costs.
- Work with the team to enhance the integration of inventory management software and tools.
Customer Service Support:
- Provide support to the customer service team in addressing inventory-related inquiries.
- Ensure product availability for customer orders and report on any stock-outs or delays.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree or Diploma in Supply Chain Management, Logistics, or a related field
- 2-3 years of experience in inventory management within a retail or distribution setting
- Strong knowledge of inventory management systems and processes.
- Excellent organizational and time-management skills.
- Ability to work independently and under minimal supervision.
- Strong attention to detail with a high level of accuracy.
- Good communication skills (both written and verbal).
- Ability to analyze data and prepare reports
