DUTIES AND RESPONSIBILITIES

Financial Management & Accounting

  • Prepare and maintain accurate financial records, ensuring compliance with accounting standards and company policies.
  • Manage daily financial transactions, including accounts payable/receivable and bank reconciliations.
  • Process and monitor invoices, ensuring proper documentation and timely payments.
  • Prepare monthly, quarterly, and annual financial reports for management review.
  • Assist in the preparation of budgets and forecasts, ensuring alignment with organizational goals and compliance with statutory requirements.
  • Coordinate with external auditors to ensure smooth audit processes, ensuring that all financial statements are accurate and submitted on time.
  • Ensure tax compliance by managing tax returns and payments in line with local regulations.

Audit & Compliance

  • Conduct internal audits, identifying risks and ensuring adherence to internal controls and policies.
  • Prepare audit documentation and assist with the preparation of audit schedules.
  • Support external audits, ensuring necessary documentation is available and in compliance.
  • Analyze financial discrepancies and recommend corrective actions to enhance the company's financial integrity.
  • Ensure the company is fully compliant with regulatory and legal requirements, including tax obligations and financial disclosures.

Administration & Office Support

  • Manage day-to-day administrative functions, including handling office supplies, vendor relationships, and equipment maintenance.
  • Coordinate meetings, office logistics, and maintain an efficient office environment.
  • Prepare and process contracts, agreements, and other official documentation.
  • Oversee the administration of employee records, leave management, and personnel matters.
  • Provide general administrative support to other departments as needed.
  • Develop and implement office policies and procedures to improve efficiency and compliance with regulations.

Financial Planning & Reporting

  • Assist with the financial planning process, offering data-driven insights and recommendations.
  • Review and analyze financial trends, providing reports to upper management for informed decision-making.
  • Monitor financial data for irregularities, ensuring the financial health of the organization.
  • Assist in the preparation of reports for regulatory bodies and stakeholders.

Team Collaboration

  • Work closely with department heads to ensure financial targets and operational goals are met.
  • Collaborate with HR and other departments to streamline administrative processes and improve operational efficiency.
  • Act as a liaison between the finance team and other departments to ensure smooth coordination of tasks and projects.

 

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree in Accounting, Finance, or a related field. CPA (K) qualification is a plus
  • 3-4 years of relevant experience in a similar role within a government agency or manufacturing company
  • Strong knowledge of accounting software, spreadsheets, and financial management tools.
  • Experience in conducting audits, ensuring compliance, and preparing financial reports.
  • Excellent organizational and multitasking skills, with a keen eye for detail.
  • Strong interpersonal and communication skills.
  • Proficiency in office software and knowledge of administrative best practices.
  • Ability to work independently and manage time effectively.
