JOB SUMMARY
The Assistant Director of Administration will support the Director of Administration in overseeing daily administrative operations, ensuring organizational efficiency, and implementing policies and procedures. This role requires a dynamic and detail-oriented professional who can manage resources, streamline processes, and contribute to strategic planning and decision-making.
DUTIES AND RESPONSIBILITIES
- Operational Management
- Supervise and coordinate daily administrative functions, including facilities management, procurement, and office operations.
- Ensure compliance with organizational policies, legal requirements, and best practices.
- Manage administrative budgets and monitor expenditures to ensure cost-efficiency.
- Policy Implementation
- Assist in developing, updating, and enforcing administrative policies and procedures.
- Communicate policies to staff and ensure proper adherence across departments.
- Staff Supervision
- Lead and mentor administrative staff, fostering a collaborative and productive work environment.
- Oversee staff performance, conduct evaluations, and provide training and professional development opportunities.
- Strategic Planning
- Support the Director of Administration in planning and implementing administrative strategies to align with organizational goals.
- Conduct analysis and prepare reports on operational performance, identifying areas for improvement.
- Facilities and Resource Management
- Oversee office space planning, maintenance, and security measures.
- Manage contracts and relationships with service providers and vendors.
- Communication and Coordination
- Act as a liaison between the administrative department and other organizational units.
- Facilitate communication to ensure smooth interdepartmental operations.
- Crisis Management
- Participate in the development of contingency plans to ensure business continuity during emergencies.
- Respond to and resolve administrative issues promptly and effectively.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Bachelor’s degree in Business Administration, Management, or a related field
- Master’s degree preferred
- Minimum of 5–7 years of experience in administrative or operations management roles, with at least 2 years in a leadership position.
- Strong organizational and problem-solving skills.
- Excellent interpersonal and communication abilities.
- Proficiency in office software (e.g., Microsoft Office Suite) and familiarity with administrative management tools.
- Knowledge of budget management and financial oversight.
- Ability to lead, motivate, and develop teams effectively
- Demonstrated ability to manage multiple priorities in a fast-paced environment.
