DUTIES AND RESPONSIBILITIES

Customer Order Management:

  • Ensure accurate processing of customer quotations and orders from initiation to final delivery.
  • Handle all customer inquiries regarding product availability, pricing, and delivery timelines.
  • Liaise with production and dispatch teams to ensure timely order fulfillment.

Invoicing and Financial Documentation:

  • Process customer invoices accurately and promptly, ensuring all necessary details are captured correctly.
  • Utilize Tally software for invoicing and other related financial documentation.
  • Track and follow up on outstanding payments, ensuring timely debt collection.

Customer Support & Complaint Resolution:

  • Provide high-quality customer service by addressing customer complaints, queries, and concerns in a professional manner.
  • Work towards resolving customer issues quickly and effectively, ensuring customer satisfaction.
  • Maintain a strong relationship with customers to encourage repeat business and customer loyalty.

Dispatch Coordination:

  • Coordinate with the dispatch team and drivers to ensure accurate and timely delivery of customer orders.
  • Track shipments and ensure that customers are informed of the delivery status in a timely manner.

Reporting & Documentation:

  • Generate and send regular reports on customer orders, quotations, and invoices to management.
  • Maintain accurate records of all customer interactions, orders, and payments.

Debt Collection:

  • Actively follow up with customers to ensure timely payment of outstanding debts.
  • Develop and maintain a clear system for tracking overdue payments and initiate collection procedures as necessary.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree or Diploma in any field
  • Minimum of 3 years’ experience in a customer care role within a busy manufacturing company
  • Proficiency in Tally software or similar accounting software.
  • Ability to perform invoicing tasks and handle financial documentation.
  • Strong communication and interpersonal skills.
  • Excellent problem-solving abilities and a proactive approach to resolving customer issues.
  • Good organizational skills and the ability to manage multiple tasks simultaneously.
