DUTIES AND RESPONSIBILITIES
Operational Leadership
- Oversee the day-to-day functioning of the branch, ensuring that all departments operate efficiently and in alignment with organizational standards.
- Develop, implement, and monitor operational procedures to maintain high service quality.
- Plan and allocate resources effectively to ensure smooth workflow and timely service delivery.
- Monitor branch performance metrics, including client satisfaction, staff productivity, and operational efficiency.
Staff Supervision & Development
- Directly supervise department heads and staff, including reception, customer service, mortuary, transport, cleaning, and security teams.
- Conduct regular staff meetings, briefings, and training sessions to reinforce SOPs, workplace conduct, and service standards.
- Provide coaching and mentorship to staff to improve skills, morale, and professional development.
- Manage staff schedules, leave requests, and performance appraisals.
- Enforce discipline fairly, addressing behavioral or performance issues promptly and constructively.
Client Service & Relationship Management
- Serve as the point of escalation for client complaints, ensuring concerns are addressed promptly, empathetically, and professionally.
- Ensure all client interactions maintain dignity, confidentiality, and sensitivity appropriate for funeral services.
- Collaborate with customer service and sales teams to improve service delivery and client satisfaction.
Inventory, Assets & Facilities Management
- Oversee inventory management, including mortuary supplies, funeral equipment, and branch assets.
- Approve requisitions, track usage, and maintain accurate records of stock and equipment.
- Ensure the branch facility is clean, secure, and well-maintained, including grounds, vehicles, and mortuary areas.
Compliance, Safety & Risk Management
- Ensure strict adherence to health, safety, and infection control protocols across all departments.
- Monitor and enforce compliance with regulatory requirements and organizational SOPs.
- Identify operational risks, incidents, or breaches, and escalate them to senior management immediately.
- Maintain accurate incident reports, operational logs, and other documentation required for audits or inspections.
Reporting & Administration
- Prepare timely and accurate operational, staff, and incident reports for senior management.
- Analyze branch performance data and recommend process improvements.
- Maintain records of staff training, client interactions, inventory, and operational incidents.
- Support budget management and cost control measures for the branch.
Interdepartmental Coordination
- Foster effective collaboration between departments to ensure seamless service delivery.
- Resolve operational conflicts or workflow bottlenecks proactively.
- Serve as a liaison between the branch and head office to communicate updates, challenges, and feedback.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma or Degree in Management, Business Administration, Public Health, Social Sciences, or a related field.
- 3–5 years’ experience in a supervisory or management role.
- Proven experience managing teams, enforcing operational procedures, and maintaining service standards.
- Experience in funeral services, healthcare, hospitality, or other sensitive service industries.
- Strong knowledge of compliance, safety regulations, and operational controls.
