DUTIES AND RESPONSIBILITIES

  • Manage and coordinate daily activities in Transport, Maintenance, Security, Catering, Grounds, and IT to ensure efficient service delivery.
  • Develop and implement standard operating procedures (SOPs) to enhance operational efficiency and service quality.
  • Supervise department heads, providing guidance, support, and performance feedback to foster a positive work environment.
  • Facilitate communication and collaboration among departments to achieve seamless operational integration.
  • Assist the Director of Administration in developing strategic plans and initiatives to improve organizational effectiveness.
  • Monitor industry trends and best practices to identify opportunities for improvement and innovation.
  • Collaborate with department heads to prepare and manage budgets, ensuring effective allocation of resources.
  • Conduct regular financial analyses and reporting to track expenditures and ensure compliance with budgetary constraints.
  • Ensure all operations comply with legal and regulatory requirements, including health and safety standards.
  • Implement risk management strategies to minimize potential disruptions and enhance safety protocols.
  • Act as a liaison between departments and the Director of Administration, communicating key information and addressing concerns.
  • Build and maintain relationships with external vendors and service providers to ensure quality service delivery.
  • Prepare regular reports on operational performance, highlighting achievements and areas for improvement.
  • Utilize data analytics to inform decision-making and strategic planning.

 

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Bachelor’s degree in Management, Business Administration, or a related field. A master’s degree is an advantage.
  • Minimum of 8 years of experience in administration or operations management, preferably in a multi-departmental setting.
  • Proven track record of managing teams and leading projects to successful completion.
  • Strong leadership and interpersonal skills with the ability to motivate and manage diverse teams.
  • Excellent problem-solving and decision-making capabilities.
  • Proficient in budgeting, financial analysis, and resource allocation.
  • Exceptional organizational and time-management skills.
