DUTIES AND RESPONSIBILITIES
Accounts Payable:
- Receive, verify, and process supplier invoices, ensuring accuracy and proper approvals
- Prepare payment vouchers and ensure timely disbursement of payments
- Reconcile supplier statements and resolve any discrepancies
- Maintain an up-to-date creditors ledger
Accounts Receivable:
- Generate and send invoices to clients in a timely manner
- Follow up on outstanding payments and manage collections
- Reconcile customer accounts and issue receipts upon payment
- Maintain a current and accurate debtors ledger
Banking and Reconciliations:
- Perform daily bank reconciliations
- Prepare and monitor cash flow reports
- Maintain petty cash records and reconcile weekly/monthly
Statutory Compliance:
- Calculate and file statutory deductions such as PAYE, SHIF, NSSF, and VAT
- Prepare and submit tax returns to KRA as per statutory deadlines
- Keep up to date with changes in tax and statutory regulations
Financial Reporting:
- Assist in the preparation of monthly management reports
- Support annual audit processes by providing requested documentation
- Prepare schedules and reports as needed by management
Office Administration:
- Monitor and manage office supplies, ensuring timely replenishment
- Maintain organized physical and digital filing systems for easy retrieval
- Coordinate courier services, deliveries, and incoming/outgoing mail
- Ensure the cleanliness and maintenance of the office environment
Human Resource Support:
- Maintain up-to-date employee files and leave records
- Support onboarding of new staff by preparing documentation and materials
- Assist with payroll preparation by compiling necessary data such as attendance and overtime
- Monitor staff attendance and generate monthly reports
Vendor and Stakeholder Liaison:
- Engage and negotiate with suppliers for office and admin purchases
- Ensure service providers (cleaning, security, IT, etc.) are properly managed and paid on time
- Maintain strong professional relationships with statutory bodies and financial institutions
- Events and Logistics:
- Organize internal meetings, take minutes, and circulate action points
- Coordinate travel bookings, accommodation, and logistics for staff when necessary
- Provide support in organizing company events and team-building activities
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Accounting, Finance, Business Administration, or related field
- CPA Section IV and above preferred
- Minimum 2 years of experience in a similar accounting or administrative role
- Proficiency in accounting software (e.g., QuickBooks, Sage) and MS Office Suite
- Sound understanding of Kenyan statutory and tax regulations
- Strong organizational and communication skills
- High level of integrity and confidentiality
