DUTIES AND RESPONSIBILITIES
- Manage and oversee five company bank accounts, ensuring accuracy and proper record-keeping.
- Perform daily reconciliations for two high-volume accounts and monthly reconciliations for the remaining three accounts.
- Investigate discrepancies, resolve variances promptly, and ensure all bank-related transactions are posted correctly in the accounting system.
- Maintain clear and organized bank reconciliation schedules for audit and management review.
- Prepare accurate and timely monthly management accounts, including the Profit & Loss Statement, Balance Sheet, Cash Flow Statement, and any relevant financial analysis.
- Provide insights and commentary on financial performance, highlighting trends, anomalies, and key drivers.
- Support management decision-making by presenting financial reports in a clear and concise manner.
- Prepare and file all monthly tax returns (e.g., VAT, PAYE, Withholding Tax) with the Kenya Revenue Authority (KRA) within statutory deadlines.
- Ensure completeness and accuracy of all tax submissions and maintain proper documentation for compliance and audit purposes.
- Stay updated on changes in Kenyan tax legislation and advise management on potential impacts.
- Conduct weekly physical stock takes for the bar and reconcile counts with sales, purchase, and consumption records.
- Identify variances, investigate causes of stock losses, and provide detailed reports with recommendations for improvement.
- Implement and maintain controls to ensure accuracy and minimize stock discrepancies.
- Oversee the end-to-end accounts payable process: verify supplier invoices, ensure proper approvals, schedule payments, and maintain vendor relationships.
- Manage the accounts receivable function by tracking customer payments, issuing timely invoices, and following up on outstanding balances.
- Maintain up-to-date schedules and ensure proper aging analysis for both payables and receivables.
- Record, monitor, and reconcile all shareholder loan disbursements and repayments.
- Maintain accurate loan ledgers and repayment schedules, ensuring transparency and accountability.
- Prepare regular reports on outstanding balances and communicate repayment obligations to relevant parties.
- Support both internal and external audits by preparing and organizing required financial documents, statements, and schedules.
- Ensure full compliance with Kenyan accounting standards, statutory requirements, and company financial policies.
- Identify control gaps and propose improvements to strengthen financial processes and internal controls.
- Assist in the preparation of annual budgets, forecasts, and financial plans.
- Monitor budget vs actual expenditure throughout the year, analyze variances, and provide explanations and recommendations.
- Support department heads in financial planning and ensure adherence to budgetary guidelines.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Commerce (Finance or Accounting option), Accounting, or a related field
- CPA (K) or an equivalent professional qualification is essential
- Proven experience as an accountant, with a track record of managing multiple bank accounts and handling inventory
- Strong proficiency in accounting software such as QuickBooks, Sage, or other enterprise-level systems
- Excellent knowledge of Microsoft Excel for data analysis and reporting
- Up-to-date knowledge of Kenyan tax laws and regulations for accurate tax return preparation
- Exceptional attention to detail, strong analytical skills, and the ability to work under pressure
