DUTIES AND RESPONSIBILITIES
Financial Record Keeping & Bookkeeping
- Maintain accurate and up-to-date financial records in accordance with accounting standards and company policies.
 - Record all financial transactions, including sales, purchases, receipts, and payments using accounting software (Sage or QuickBooks).
 - Ensure all entries are supported with proper documentation (invoices, receipts, etc.).
 
Accounts Payable & Receivable
- Manage accounts payable by ensuring timely payments to suppliers and service providers.
 - Reconcile supplier statements and address discrepancies.
 - Track receivables and follow up on outstanding client invoices to ensure timely collection.
 - Prepare and issue invoices for services rendered, ensuring all event-related billing is accurate and timely.
 
Payroll Administration
- Prepare and process monthly payroll for all employees, ensuring accuracy in deductions (PAYE, NHIF, NSSF, HELB, etc.).
 - Maintain updated payroll records and employee compensation files.
 - Ensure compliance with all statutory deductions and submit returns on time to KRA and other relevant bodies.
 
Bank and Cash Reconciliation
- Perform monthly bank reconciliations for all company accounts.
 - Reconcile petty cash and ensure proper usage and replenishment of float funds.
 - Monitor and reconcile mobile money transactions (e.g., M-Pesa payments).
 
Budgeting & Financial Planning
- Assist management in the preparation of budgets for events, monthly operations, and departmental needs.
 - Monitor actual spending against budgets and highlight variances.
 - Participate in periodic forecasting and cash flow planning.
 
Tax Compliance & Statutory Reporting
- Ensure timely and accurate filing of all statutory obligations including VAT, PAYE, SHIF, NSSF, and withholding taxes.
 - Liaise with external auditors, KRA officials, and other regulatory bodies when necessary.
 - Maintain proper documentation and audit trail for all tax submissions and returns.
 
Event Financial Support
- Work closely with the events team to budget for specific events, track spending, and ensure cost controls are adhered to.
 - Provide on-site financial oversight for major events, including cash handling and vendor payments.
 - Prepare post-event financial summaries to assess profitability and recommend cost-saving strategies.
 
Reporting & Analysis
- Prepare timely and accurate monthly, quarterly, and annual financial statements and management reports.
 - Provide insightful analysis on income, expenses, and profitability.
 - Identify trends, financial risks, and opportunities for improved performance.
 
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Commerce, Accounting, Finance or a related field or CPA K
 - Minimum of 3 years of accounting experience in an events company or hospitality set-up
 - Proven experience using Sage or QuickBooks accounting systems
 - Solid understanding of accounting principles and Kenyan tax laws
 - Strong analytical and problem-solving skills
 - Excellent attention to detail and high level of accuracy
 - Ability to work under pressure and meet deadlines
