DUTIES AND RESPONSIBILITIES
Inventory Management:
- Maintain accurate records of stock levels in the warehouse.
- Track and report stock movements and adjustments, ensuring data accuracy.
- Monitor stock levels and coordinate with relevant departments to reorder materials.
- Conduct regular stock audits and cycle counts to ensure consistency between physical stock and inventory records.
Stock Control:
- Implement and follow procedures for stock receipt, storage, and dispatch.
- Ensure proper labeling, packaging, and storing of materials to avoid stock deterioration.
- Investigate discrepancies and resolve any stock control issues promptly.
- Oversee the organization and cleanliness of the warehouse, ensuring compliance with health and safety standards.
Invoicing and Documentation:
- Process stock-related documentation, including purchase orders, stock receipts, and sales orders.
- Generate and maintain accurate invoices for materials received and dispatched.
- Monitor and track payment status for invoiced items, ensuring timely follow-up on outstanding payments.
Coordination with Other Departments:
- Work closely with the procurement team to monitor stock levels and assist in replenishing materials as needed.
- Collaborate with the production team to ensure timely availability of materials for manufacturing processes.
- Communicate effectively with the sales department to ensure customer orders are fulfilled on time and without stock issues.
Reporting and Data Analysis:
- Prepare weekly and monthly stock control reports for management review.
- Assist in analyzing inventory turnover rates and suggest improvements for stock optimization.
- Provide reports on any stock discrepancies, shrinkage, or damage to management for investigation.
Compliance and Safety:
- Ensure compliance with company policies and procedures regarding stock handling, storage, and shipping.
- Implement and monitor safety protocols for stock handling to avoid accidents and ensure staff safety.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma in Procurement, Supply Chain Management, or a related field
- Minimum of 2 years of experience in stock control or inventory management, preferably in a manufacturing environment
- Experience handling stock control, invoicing, and warehouse management
- Proficiency in QuickBooks or any other accounting software is preferred
- Strong understanding of stock control principles and warehouse operations
- Knowledge of best practices in inventory management and stock auditing
- Strong numerical and analytical skills
