JOB SUMMARY

The Human Resource Assistant is responsible for providing support in the various human resource functions, which include recruitment, staffing, training and development, performance monitoring, payroll processing and employee counseling.

 

DUTIES AND RESPONSIBILITIES

Recruitment & Onboarding:

  • Assist in posting job advertisements on various platforms (job boards, social media).
  • Screen resumes and conduct initial interviews with candidates.
  • Should be able to handle multiple interviews in an expanding organization
  • Assist with employee onboarding, including preparation of offer letters, contracts, and onboarding schedules.
  • Ensure new employees complete required documentation and are inducted properly
  • Prepare induction schedules and coordinate the whole process of employee induction together with various line managers.

Employee Records & HRIS:

  • Maintain accurate employee records, including personal data, job history, and performance information.
  • Update the Human Resource Information System (HRIS) with changes to employee information.
  • Assist in managing leave applications, sick leaves, and attendance tracking.

Payroll & Benefits Administration:

  • Support the payroll process by collecting and verifying employee data (timesheets, deductions, leave balances).
  • Assist with the administration of employee benefits, including medical insurance, retirement plans, etc.
  • Handle queries related to salary, benefits, and allowances in coordination with the HR Manager.

 

 

Employee Relations:

  • Serve as the first point of contact for employee inquiries regarding company policies, benefits, and HR procedures.
  • Support in conflict resolution processes and assist in organizing staff welfare activities.
  • Help organize employee engagement programs, events, and training sessions.

Compliance & Policy Enforcement:

  • Ensure compliance with labour laws and company policies, updating policies as necessary.
  • Assist in maintaining a safe and compliant workplace environment, including health and safety standards.
  • Support internal audits and compliance reviews.

Training & Development:

  • Assist in identifying training needs and arranging internal and external training sessions for employees.
  • Monitor employee training progress and maintain training records.

General Administrative Support:

  • Manage the HR department’s calendar, including meetings, interviews, and training sessions.
  • Provide administrative support to the HR Manager in preparing reports, memos, and other documentation.
  • Assist in HR projects and initiatives aligned with the company’s strategic goals.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree Human Resource Management, Commerce or Business Administration
  • CHRM qualification is a necessary added advantage
  • At least 2 years’ HR experience in a busy environment
  • Extensive experience in payroll management and production
  • Project Management skills
  • Excellent computer skills and familiarity with MS office package especially MS Excel
  • Excellent Oral and written communication skills
  • Leadership skills
