JOB SUMMARY
The Export Sales Administrator will support the export sales function by managing documentation, coordinating with stakeholders, ensuring compliance with Kenya’s export laws, and facilitating smooth sales operations in international markets. This role requires a strong understanding of export regulations, sales, and marketing principles tailored to global markets, with particular focus on Kenyan compliance standards.
DUTIES AND RESPONSIBILITIES
Export Documentation and Compliance
- Prepare and process export documentation, including invoices, packing lists, certificates of origin, and bills of lading.
- Ensure compliance with Kenya’s export laws, such as adherence to Kenya Revenue Authority (KRA) regulations, export permits, and customs declarations.
- Liaise with government bodies such as the Export Promotion Council (EPC) and the Kenya Bureau of Standards (KEBS) for compliance certification.
Sales and Marketing Support
- Collaborate with the Export Sales team to execute sales strategies for international markets.
- Assist in market research to identify trends, competitor analysis, and potential opportunities in target regions.
- Coordinate promotional campaigns and marketing activities to support export sales growth.
Order Management and Customer Relations
- Process customer orders and ensure timely delivery through effective coordination with logistics and supply chain teams.
- Manage client accounts, respond to inquiries, and provide exceptional customer service to international buyers.
- Maintain updated records of all export transactions, including customer communication and feedback.
Logistics and Supply Chain Coordination
- Work with freight forwarders and shipping companies to ensure efficient delivery of goods.
- Monitor shipment schedules and update customers on delivery timelines.
- Address any logistical challenges or delays proactively.
Financial Coordination
- Coordinate with the finance department to ensure accurate invoicing, payment collection, and tax compliance.
- Monitor exchange rates and ensure pricing reflects current market conditions.
Regulatory Updates and Training
- Stay updated on changes in international trade regulations and Kenya’s export policies.
- Train internal teams and external partners on relevant export requirements and documentation standards.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Commerce, Economic, Sales, Marketing, or related fields.
- At least 3 years in export sales, export administration, or a similar role.
- Experience in FMCG or manufacturing sectors is preferred.
- Strong understanding of Kenya’s export laws and international trade practices.
- Familiarity with international trade platforms.
- Sales and marketing principles with a focus on international markets
