DUTIES AND RESPONSIBILITIES
Order Processing
o Receive, review, and confirm customer orders for accuracy and completeness.
Staging and Route Preparation
o Organize and stage goods in the dispatch area as per delivery routes to streamline loading.
o Cross-reference staged items with invoices to ensure accuracy before dispatch.
o Coordinate with the warehouse team to ensure all orders are staged in the correct sequence for efficient delivery.
Inventory Coordination
o Verify stock availability before dispatch to prevent order fulfillment issues.
o Collaborate with warehouse teams to ensure timely picking, packing, and staging of goods.
o Report any stock discrepancies or shortages to the appropriate department.
Documentation and Reporting
o Maintain accurate records of all dispatched and returned goods.
o Generate and submit daily, weekly, and monthly dispatch reports to management.
o Ensure compliance with documentation requirements for internal and external audits.
Customer and Stakeholder Liaison
o Communicate delivery details and requirements to customers and drivers.
o Respond to customer inquiries regarding deliveries and resolve complaints efficiently.
o Liaise with sales, warehouse, and customer service teams to align on dispatch priorities.
Compliance and Safety
o Ensure dispatch activities adhere to company policies.
o Promote and maintain safe practices for staging, loading, unloading.
Problem-Solving and Issue Resolution
o Identify and resolve issues such as delivery delays, lost goods, or incorrect dispatch.
o Implement corrective measures to avoid recurring dispatch challenges.
Support and Team Collaboration
o Provide suggestions for improving dispatch and staging processes for efficiency.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Certificate/Diploma Supply Chain Management or related fields.
- 1-3 years in a Warehouse management, dispatch, or similar role preferred.
- Excellent organizational and multitasking skills.
- Ability to work under pressure and meet tight deadlines.
- Proficient in MS Office and data entry.
