DUTIES AND RESPONSIBILITIES
Tender Identification & Analysis
- Continuously monitor tender portals, IFMIS, PPIP, newspapers, and other sources for new tender opportunities.
- Conduct thorough evaluation of tender documents to determine eligibility, scope, and feasibility.
- Provide timely reports to management on upcoming opportunities and deadlines.
Bid Documentation & Compliance Management
- Prepare, review, and assemble all required tender documents in compliance with the tender requirements.
- Ensure all technical, financial, and legal documents meet statutory and organizational standards.
- Maintain accurate and up-to-date tender documentation records.
IFMIS/PPIP Operations
- Operate and update tenders in IFMIS and PPIP systems as required.
- Track tender submission status and respond to clarifications or queries from clients or procuring entities.
Submission Tracking & Deadline Control
- Maintain a tender submission calendar to track deadlines and submission status.
- Coordinate with internal teams to ensure timely approval and submission of bids.
- Follow up with clients or tendering authorities on the status of submitted tenders.
Reporting & Administration
- Prepare regular reports on tender sourcing, submission outcomes, and pipeline status.
- Provide administrative support for the procurement and business development teams as needed.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Procurement, Supply Chain Management, Business Administration, or related field.
- 4–5 years of experience in tender sourcing, bid preparation, or procurement support.
- Strong knowledge of tendering processes and regulations in Kenya.
- Proficiency in IFMIS and PPIP systems.
- Excellent organizational and time management skills with attention to detail.
- Strong analytical and communication skills.
- Ability to work under pressure and meet tight deadlines.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
