DUTIES AND RESPONSIBILITIES

  • Provide comprehensive administrative support to the sales team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Organize and maintain a centralized filing system for sales documents and records, ensuring easy access for the team.
  • Respond promptly to customer inquiries via phone, email, and in-person, providing detailed information about products and services.
  • Develop and maintain a database of frequently asked questions to streamline customer service processes.
  • Maintain accurate and up-to-date records of customer interactions, sales activities, and transactions in the CRM system.
  • Generate reports on customer feedback, sales performance, and market trends to assist the sales team in strategic planning.
  • Process sales orders efficiently, ensuring all necessary information is accurately captured and entered into the system.
  • Coordinate with logistics and delivery teams to track orders and ensure timely fulfillment, addressing any potential delays proactively.
  • Monitor inventory levels and coordinate with suppliers to ensure adequate stock of promotional materials and product samples.
  • Conduct regular inventory audits and assist in forecasting inventory needs based on sales trends.
  • Provide exceptional customer service by addressing inquiries, resolving complaints, and ensuring customer satisfaction throughout the sales process.
  • Follow up with clients post-purchase to gather feedback and ensure they are satisfied with their products and services.
  • Attend team meetings and contribute insights from customer interactions that may inform product development and sales strategies.
  • Assist with training new sales team members by sharing knowledge of systems, processes, and best practices.
  • Identify areas for process improvement within the sales admin function and recommend solutions to enhance efficiency and effectiveness.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Diploma in Business Administration or Marketing.
  • Previous experience as a sales admin in a busy environment.
  • Basic understanding of sales principles and customer service practices
  • Excellent multi-tasking and time-management skills
