DUTIES AND RESPONSIBILITIES
Recruitment & Onboarding Support
- Assist in drafting and posting job advertisements on various platforms
- Screen CVs and coordinate interview schedules with hiring managers
- Facilitate smooth onboarding of new hires, including orientation, paperwork, and setting up workstations
- Prepare offer letters, contracts, and employment documentation
Employee Records Management
- Maintain up-to-date and accurate employee files in both digital and physical formats
- Track employee leave, attendance, and time-off records
- Update HRIS systems with changes in employee data (promotions, transfers, exits)
HR Administration
- Draft and issue HR letters (confirmation, warning, disciplinary, reference, etc.)
- Support the payroll team by submitting monthly changes (new hires, terminations, leave days, etc.)
- Help coordinate statutory compliance (NSSF, NHIF, PAYE, HELB)
Performance Management Support
- Assist in tracking probation periods, performance review schedules, and appraisal documentation
- Follow up with line managers and employees on performance targets and feedback
Employee Relations & Engagement
- Act as a point of contact for employee queries and concerns
- Support in resolving minor employee disputes or escalating issues as needed
- Help plan and execute employee engagement activities like team-building events, trainings, and wellness programs
Policy Compliance & Communication
- Ensure company HR policies and procedures are clearly communicated to all staff
- Assist in the implementation and monitoring of compliance with labor laws and internal policies
- Organize sensitization sessions and HR policy refresher meetings
Exit Management
- Support exit interviews and clearance processes for departing staff
- Ensure proper documentation is collected and final dues are processed timely
HR Reporting & Analysis
- Assist in compiling monthly and quarterly HR reports (headcount, turnover, leave balances, etc.)
- Support data collection and analysis for decision-making
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Human Resource Management or a related field
- Minimum of 3 years experience in a busy HR department
- Strong people management and interpersonal skills
- Good understanding of Kenyan labor laws and HR best practices
- Excellent organizational and time-management abilities
- High level of integrity and professionalism
