DUTIES AND RESPONSIBILITIES
Recruitment & Onboarding:
- Assist in the recruitment process by reviewing CVs, shortlisting candidates, scheduling interviews, and conducting initial screening calls.
- Collaborate with hiring managers to ensure clear communication about job requirements, candidate expectations, and interview schedules.
- Prepare offer letters, contracts, and other employment documents for new hires, ensuring compliance with organizational policies.
- Coordinate and assist in the onboarding process by ensuring all new employees are well-versed in company policies, procedures, and their specific roles.
- Organize induction programs and ensure all new hires complete necessary documentation and compliance training.
Employee Records Management:
- Maintain and update employee records (both physical and digital) to ensure accuracy, completeness, and confidentiality.
- Ensure that employee data is stored securely and complies with data protection regulations and organizational protocols.
- Regularly update HR systems to reflect any changes to employee status, such as promotions, salary adjustments, job titles, or contact information.
Payroll and Benefits Administration:
- Assist with processing employee payroll on a monthly basis, ensuring accurate computation of salaries, allowances, and deductions.
- Support the HR Manager in managing employee benefits programs, including health insurance, pension schemes, and any other company-sponsored benefits.
- Ensure compliance with tax regulations and other statutory deductions in accordance with Kenyan labor laws.
Employee Relations & Compliance:
- Act as the first point of contact for employees on HR-related queries, such as leave balances, benefits, and labor law compliance.
- Provide support in managing employee grievances and disciplinary procedures, ensuring fairness and adherence to company policies and legal guidelines.
- Stay updated on labor laws and statutory regulations to ensure that the company’s HR policies are always compliant with local employment laws.
- Facilitate communication between employees and management, helping address workplace concerns and fostering positive relationships.
Performance Management Support:
- Assist in the performance management process by tracking employees' performance reviews, appraisals, and feedback sessions.
- Coordinate the performance evaluation process, ensuring that timelines are met and that the process is carried out professionally and efficiently.
- Help managers identify training and development needs based on performance reviews and assist in implementing improvement programs.
Training & Development:
- Assist with organizing training sessions, workshops, and seminars to improve employee skills and performance.
- Track and maintain training records, ensuring that employees are up-to-date with mandatory certifications and skills development programs.
- Coordinate with external training providers to schedule and arrange for any external training programs.
HR Administration and Reporting:
- Provide administrative support for HR-related tasks such as generating reports, maintaining HR documents, and responding to inquiries from staff members.
- Prepare HR reports as required by management, including headcount reports, training needs assessments, and employee satisfaction surveys.
- Maintain and update the HR filing system, ensuring that all documentation is accurate, compliant, and up-to-date.
- Help prepare for audits and ensure that all HR practices align with internal and external regulatory standards.
Leave and Attendance Management:
- Maintain and track employee leave records, ensuring adherence to company policies regarding vacation, sick leave, maternity leave, etc.
- Monitor attendance patterns and help HR management ensure that employee attendance is properly recorded and managed.
- Assist in handling employee requests for leave, ensuring that all necessary approvals are obtained and documented in accordance with the company’s policies.
Health and Safety Compliance:
- Support the HR department in promoting health and safety policies within the workplace.
- Assist in maintaining compliance with health and safety regulations as per the Occupational Health and Safety Act (OSHA).
- Help organize periodic safety drills, health checks, and workshops related to employee well-being.
HR Policy Implementation:
- Ensure the effective implementation and enforcement of HR policies and procedures throughout the company.
- Assist in communicating any changes to company policies, helping employees understand how these changes will impact their roles.
- Actively participate in policy reviews and propose improvements based on feedback from employees and management.
Welfare & Employee Engagement:
- Coordinate employee welfare programs aimed at enhancing employee satisfaction and well-being.
- Help organize team-building activities, employee recognition programs, and social events that foster a positive and engaging work culture.
- Support initiatives to improve employee morale, retention, and overall job satisfaction.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Human Resource Management (HRM) or a Diploma in HRM with a valid CHRP certification
- A minimum of 3 years of experience in a similar HR Assistant role within a manufacturing company
- In-depth knowledge of Kenyan labor laws and industry-specific Standard Operating Procedures (SOPs)
- Proficient in using HR software (HRIS) and Microsoft Office Suite (Excel, Word, PowerPoint)
- Strong understanding of payroll processes and employee benefits administration
- Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels
